Hearth Studio

For wedding photographers

Spend your evenings shooting, not reconciling spreadsheets.

The problem

Your business is run on three apps and a folder of spreadsheets.

Galleries live in one tool. Contracts in another. Payments in a third. The wedding-day timeline is a Google Doc shared the night before. It worked when you shot eight weddings a year. It stops working at thirty.

Every off-the-shelf studio platform either costs more than your second-shooter, or treats your business like a franchise — same dashboard as the family-portrait studio in Idaho, same pricing pages, same client portal nobody uses because nothing in it feels like you.

You're left with a tax: an hour a day reconciling things that should reconcile themselves.

What we build

A studio dashboard shaped to your studio.

One workspace for galleries, contracts, payments, and the day-of timeline — for you and for your clients. Built around your actual workflow, then quietly maintained.

What you get

A workspace that fits, not a SaaS that almost fits.

01

Client galleries that feel like yours

Branded delivery, favorites, downloads, and a shop if you sell prints. No Pic-Time watermarks. No weird upsell flows in the client experience.

02

Contracts + e-sign

Send a contract, get it countersigned, archive it — without leaving the dashboard. Templates for engagement, wedding, and elopement.

03

Invoices that pay themselves

Stripe under the hood. Couples pay deposits, schedules, and finals. You see the cashflow without logging into a separate dashboard.

04

A day-of timeline both sides can read

You build it once. The couple sees it on their phone. Vendors get a printable version. No more last-minute Google Doc panic.

05

A pipeline that respects your season

See which weddings are this month, which need an album proof, and which have an outstanding balance — without three browser tabs.

06

Yours, not a subscription

You own the code and the data. Hosting is on Cloudflare for $5–20/month. We're available for changes when you want them.

How it goes

From first call to live, in 5–7 weeks.

01

Workflow audit

1 week

We map your actual workflow — every spreadsheet, every email template, every workaround.

02

Design in the browser

1 week

No Figma file you'll never look at. We build the real thing, week one, and refine from there.

03

Build & migrate

3–4 weeks

We build the dashboard and migrate your existing client data. You keep shooting.

04

Launch + season one

ongoing

We stay close through the first wedding season. Small changes happen fast.

"It feels like the studio I always wanted to be. The dashboard is the calmest part of my week now."

Questions we hear a lot

FAQ

Why pay once instead of a monthly SaaS? +
Math: most studios pay $80-120/month across Pic-Time, Honeybook/Studio Ninja, and email tools. Over five years that's $5k–7k. A custom build pays for itself in 4–6 years and gets you something shaped exactly to your studio. If you'd rather pay monthly forever, the SaaS path is a fine choice — we just don't pretend it's cheaper.
Will I be locked in to you? +
No. The code is yours, the data is yours, the hosting is yours (Cloudflare Pages, ~$5–20/month). If we ever stop being a fit, you can hire any developer to maintain it. We use boring, well-documented tools precisely so this is true.
Can it handle prints, albums, and other products? +
Yes. We integrate with the print labs you already use (WHCC, Miller's, etc.) or build a custom proofing flow if you sell something more bespoke. Album proofing is part of the Studio tier.
How do you migrate existing client data? +
We pull from whatever you're using now — Pic-Time, Pixieset, Honeybook, ShootProof, even spreadsheets. Past galleries, contracts, and invoices come along. Couples get a one-time email letting them know where to log in.
I'm not very technical. Will I be able to maintain it? +
Yes. Day-to-day everything is point-and-click — no code. For anything you can't do yourself, the Care plan covers it. The whole point is to give you back evenings, not steal new ones.
